01Who we are
Better Minds Therapy & Wellness LLC (“Better Minds,” “we,” “us,” or “our”) is a telehealth psychiatric practice serving patients in Florida, founded by Stephanie Alvarez, MSN, ARNP, PMHNP-BC. This policy explains how we handle information collected through this website and, separately, how we protect the health information of our patients.
02Information we collect
Through this website, we may collect:
- Information you provide — such as your name and email address when you subscribe to our newsletter, or the contents of any email or message you send us.
- Automatically collected information — such as basic technical data (browser type, device, and general location) if analytics are enabled, used only to understand how the site is used.
Appointment booking, intake forms, and clinical information are handled through our scheduling and clinical partners (see Section 5), not collected directly on this website.
03How we use information
We use the information above to respond to your inquiries, send the newsletter you requested, coordinate care, improve the website, and meet our legal and professional obligations. We do not sell your personal information.
04Protected health information (HIPAA)
As a healthcare provider, we are required by the Health Insurance Portability and Accountability Act (HIPAA) to protect the privacy of your protected health information (PHI) and to provide you with a Notice of Privacy Practices describing how PHI may be used and disclosed.
We use and disclose PHI for treatment, payment, and healthcare operations — for example, communicating with a pharmacy about a prescription, billing your insurer, or coordinating with another provider on your care team (with your consent where required). We disclose PHI without authorization only where permitted or required by law. Otherwise, we obtain your written authorization before using or disclosing your PHI.
You have rights over your PHI, including the right to access and request a copy of your records, request corrections, request restrictions on certain disclosures, and receive an accounting of certain disclosures. To exercise these rights, contact us using the information in Section 12.
05Third-party services
We rely on trusted third-party platforms to operate the practice. Each maintains its own privacy and security practices, and clinical partners operate under HIPAA business associate agreements where applicable:
- Headway — scheduling, intake forms, insurance billing, and payments.
- Zocdoc — appointment booking and patient reviews.
- WebMD — provider directory listing and patient reviews.
- Mailchimp — delivery of our optional email newsletter.
- Google — business profile and patient reviews, and (if enabled) website analytics.
We encourage you to review the privacy policies of these services for details on how they handle your information.
06Cookies & analytics
This website may use cookies or similar technologies to support basic functionality and, if analytics are enabled, to understand aggregate site usage. You can control cookies through your browser settings. We do not use website cookies to identify you as a patient.
07Email & the newsletter
If you subscribe to our newsletter, we use your name and email address only to send the content you requested. Every email includes an unsubscribe link, and you may opt out at any time. Please do not include sensitive health information in newsletter signups or general email, as standard email is not a secure channel.
08How we protect information
We use reasonable administrative, technical, and physical safeguards to protect the information in our care, and our clinical partners use secure, HIPAA-compliant platforms for scheduling and telehealth visits. No method of transmission over the internet is completely secure, however, and we cannot guarantee absolute security.
09Your rights
Depending on your situation and applicable law, you may have the right to access, correct, or request deletion of certain personal information, to opt out of marketing emails, and to exercise the HIPAA rights described in Section 4. Contact us to make a request.
10Minors
We provide clinical care to adolescents ages 13 and older with appropriate consent from a parent or legal guardian. This website is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the website.
11Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be reflected on this page.
